Privacy Policy

PlanSmart Solutions (“PlanSmart”, “we”, “us”) is committed to protecting your privacy. This policy explains how we collect, hold, use and disclose personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and the Privacy (Tax File Number) Rule 2015.

What we collect

As an accounting practice, the information we collect depends on the services you engage us for. It may include:

• Your name and contact details
• Business and entity details, including ABNs and ACNs
• Financial records and bank account details
• Payroll and superannuation information about you and your employees
• Tax file numbers
• Identification documents where required by law

How we collect it

We collect information directly from you — in meetings, by phone and email, and through our website contact form. With your authority, we also collect information from third parties such as the Australian Taxation Office, ASIC, your bank, your software providers (for example Xero), and your previous accountant.

Why we collect it

We collect and use personal information to provide accounting, bookkeeping, taxation and advisory services; to comply with our legal and professional obligations; to communicate with you about your affairs and our services; and to improve how we work.

We do not sell personal information, and we do not use tax file numbers for any purpose other than those permitted by law.

Who we disclose it to

We may disclose your information to government bodies where required to deliver our services or by law, such as the ATO and ASIC; to registered tax agents involved in your lodgements; to software and secure cloud storage providers we use to run our practice; and to professional advisers such as auditors and lawyers where necessary.

Where a service provider stores data overseas, we take reasonable steps to ensure it is handled consistently with Australian privacy law.

How we protect it

We store information in secure, access-controlled systems, use reputable cloud providers with encryption in transit and at rest, and limit access to those who need it to do their work. We retain records for the periods required by tax and corporations law, and destroy or de-identify information we no longer need.

Access and correction

You may request access to the personal information we hold about you, or ask us to correct it, by contacting us using the details below. We will respond within a reasonable time and will not charge you for making the request.

Complaints

If you believe we have breached your privacy, please contact us first and we will investigate and respond within 30 days. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
